Shipping Rates

All merchandise and textbooks except Diploma and Portrait Frames:
Ontario: $10 flat rate shipping
All Other Canadian Provinces: $15 flat rate shipping
All Canadian Territories: $20 flat rate shipping
United States: $17.50 flat rate shipping
International (outside of U.S.): $49.99 flat rate shipping

Diploma and Portrait Frames:
Canada: 
$37.50 flat rate shipping
International: $175 flat rate shipping

Please note, shipping fees are non-refundable.

Missing, Lost or Stolen Orders

If you believe your shipment is lost/missing, or has been damaged in transit, below are the deadlines for asking W Store to file a claim on your behalf with Purolator:

Visibly Damaged Shipment - 60 calendar days of from the date of delivery. Damage must be noted at the time of delivery.

Lost Shipment - 9 months from shipment date.

Concealed Damage (damage not visibly apparent on delivery) - 21 calendar days from date of delivery

Beyond these deadlines, please contact Purolator directly to submit a claim.

Returns

Returns / Exchanges

Returns for in-store purchases may be facilitated at a W Store or W Store Essentials location during regular hours of operation.

Returns for online purchases may be mailed back to W Store. We recommend that you use a traceable shipping method for your returned product. We are not responsible for lost shipments and shipping fees are not refundable.

All returns must include a completed copy of the W Store Web Return Form (PDF) (if purchased online), along with the original invoice/receipt.

Important notice: Due to a large volume of orders, web order returns may take up to 45 days to be processed.

The return deadline for the Winter 2025 academic term is January 24, 2025.
After this date, refunds for special circumstances are at the discretion of store management.

Return Conditions

All returned items are subject to inspection and at the discretion of W Store. Items must include original tags, must be unopened, unworn and in original selling condition.

All returns must include the original invoice/receipt, along with a completed copy of the W Store Web Return Form (PDF) if purchased online.

Refunds will be processed in Canadian dollars and to the same method of payment used in the original transaction.

Shipping fees are non refundable. Refunds sent via mail/courier will be shipped at buyer’s expense. A shipment method with a tracking number is recommended. If you are sending your return by mail/courier, please package securely to avoid damage in shipping.

For items accompanied by a gift receipt, refunds will be processed to a W Store gift card. Gift card purchases are final sale and are not redeemable for cash.

Some technology purchases may have warranty coverage that differs from above. Please consult the documentation that accompanied your purchase for details. For warranty information on these items, please contact the manufacturer directly.

If your order was cancelled, or you received a partial shipment, a refund will be processed automatically.

We will make every effort to process exchanges for items similar to the original purchase. If a similar item is not available, the returned merchandise may be exchanged for other in store items of equal or lesser value, with no compensation for the difference.

Please note, if your order was cancelled, the line item on your credit card is a temporary preauthorization hold, not a charge. Once your cancellation/refund has been processed by our e-commerce team, the hold will be removed. You can contact your financial institution directly for more information or to inquire about releasing the hold faster.

What is the return deadline?

General merchandise items purchased (clothing, school supplies, dorm essentials, gift items, etc.) online must be postmarked by or returned within 30 days of the first delivery attempt. After this date, refunds are at the discretion of store management.

Items purchased in-store should be returned in-store within 14 days of original purchase.

Any course materials must be returned by the Textbooks and Course Materials Return Deadline.
The return deadline for the Winter 2025 term is January 24, 2025.

Can I return course materials?

Print Textbooks

If you are returning a textbook purchased from W Store | SCH refer to W Store return policy.

If you purchased a print textbook from Login visit the Login return policy.

ETextbooks

Course Kits

Course kits are final sale and not eligible for refund. No exceptions.

Access Codes

What can not be returned?

Exceptions for returns of access codes are at the discretion of store management and subject to approval by the publisher. All digital course material returns are subject to the Textbooks and Course Materials Return Deadline and should be emailed to wstore@uwaterloo.ca with a completed copy of the W Store Web Return Form (PDF). The return deadline for the Winter 2025 term is January 24, 2025. Once an e-textbook subscription is purchased, it is not eligible for a refund.  

Custom-printed University of Waterloo courseware is final sale and not eligible for refund. No exceptions.

Diploma Frames

When will my diploma frame be shipped?

You should allow 4-6 weeks for delivery but generally speaking, you should receive your frame within 2 weeks depending on where you are located.

If you receive your frame and it is damaged in any way, please contact fulfillment@tempoframing.com.

What size is the diploma frame?

The diploma frames we offer online and in-store are 15 inches by 20 inches. They hold a document that is 10.5 inches by 15.5 inches, which fits the diplomas granted from the University of Waterloo since 2012.

How do I assemble my diploma + portrait frames?

You can easily insert your diploma into the quick-loading frame. There are no screws, wires or complicated assemblies. Follow the below steps:

1. Press down and rotate the clips to release them from the frame

2. Lift out the hardboard back and mat

3. Expose the adhesive on the back of the mat by removing the protective strips. Center the mat right side up over the image to be framed and gently press down along adhesive strips to secure the image. Press down and rotate clips to release them from the frame.

4. Turn the matted image over and further ancho the image in place with a piece of tape. Insert the matted image into the frame

5. Replace the hardboard back, and return the clips to their original locked position

6. Hang the framed image, either horizontally or vertically, from opening molded into the clips.

How do I earn W Rewards points?

To redeem your points, just present your WatCard to the cashier at checkout and they will apply your eligible discount

Ordering Textbooks and Course Materials

How do I order print textbooks?

Print textbooks will be available to purchase through a selection of online trusted partners, including Login.

W Store does not stock many print textbooks, but there are a few exceptions you can find in W Store | South Campus Hall, including printed lab manuals and course notes.

Where do I find digital materials and access codes?

Digital course materials (e-texts) will be available through Waterloo Learn on the first day of the semester (as of January 6 for the Winter 2025 term). The etextbook link will typically be found in the “Content” section as a module on the left side of your course.

Etextbooks can be purchased from Vitalsource (you can search by title of ISBN).

If you need support in identifying the correct title for your course (which is usually communicated in your syllabus or course outline), please email wstore@uwaterloo.ca

Temporary access to the etexbook is available with no commitment needed for 14 days at the start of the semester. After 14-days, you must purchase the subscription to maintain your access.

How do I purchase access codes?

To purchase access codes, please use the search engine on the Course Materials page.
Search for your access code, add to cart, and purchase.

Once you have purchased your access code, the code will be emailed to you once your transaction has been completed. Please check your spam/junk folder. You can reach out to us at wstore@uwaterloo.ca if you have not received your access code by the next business day.

Where can I purchase course kits?

Course kits can only be purchased at W Store | South Campus Hall.
